Fair Usage Policy
Effective date: 1 January 2025
This Fair Usage Policy sets out the usage limits and expectations for each Hiivel plan. It forms part of our Terms of Use. By using the Service, you agree to stay within the limits described here.
Employee limits
Each plan includes a maximum number of active employee records:

“Active employees” means employee records with an active employment status. Archived or terminated employee records do not count towards the limit.
If you need to accommodate more than 200 employees, contact us at hello@hivell.com to discuss an enterprise arrangement.
Module access by plan
Each plan includes access to specific modules:

Document and file storage
Storage limits per plan:
- Starter — 5 GB total storage
- Growth — 25 GB total storage
- Business — 100 GB total storage
Individual file uploads are limited to 50 MB per file. If your business requires additional storage, contact us to discuss options.
API and automation limits
All plans are subject to rate limiting to ensure platform stability and fair access for all customers. Current limits are 1,000 API requests per minute per organisation. If your usage regularly approaches this limit, contact us to discuss your requirements.
What happens if you exceed your limits
If you exceed your employee limit, you will be prompted to upgrade your plan or archive employees before adding new ones. We will not automatically charge you for overages — you will always be in control.
If your storage usage approaches your plan limit, we will notify you by email. You will have 14 days to either reduce usage or upgrade before new uploads are restricted.
Prohibited uses
Regardless of plan, the following uses are prohibited:
- Using the platform to manage employees of a separate business entity without a separate subscription
- Automated scraping or bulk export of data via the UI (use our export tools instead)
- Storing data unrelated to your business operations (e.g. using document storage as general cloud storage)
- Any use that places unreasonable load on our infrastructure
Changes to this policy
We may update limits over time as the platform evolves. We will provide at least 30 days’ notice of any reduction in limits for existing subscribers.
